Please note that you must be logged into the online program to view panel scheduling details, room numbers, paper abstracts, and participant contact information. Please note panels marked for virtual participation will be held in-person but select presenters from those panels will present virtually.

How do I join Virtual Participation panels?
Starting Thursday (9/11), Zoom links for virtual participation panels will appear in the All Academic submission system online program. To access panel Zoom links, you must be both registered for the Annual Meeting and logged into the program. Please test your APSA credentials in advance to ensure you can seamlessly access the platform.

All panelists are expected to attend in person unless APSA has granted prior approval for virtual participation. Purchasing a virtual registration does not grant permission to present remotely.

To join a session, sign into the program, and search for the panel title (or use the filters in the left-side menu). Events with virtual participation are marked with a “(V)” and the panel type includes “Virtual Participation.” If these are not indicated, then the panel is in-person only and will not have a Zoom link. Once you locate a panel, expand the session details and click “Join Zoom Session” at the top of the page. Zoom links become active 15 minutes before the scheduled start time and automatically close 10 minutes after the session ends. For security, please do not share or post any Zoom links.

Is the meeting going to be a fully hybrid meeting?
No. The intention is to hold an in-person meeting with a limited number of virtual presenters. APSA will set a limited number of panel rooms with the technology needed to allow for select individuals to present virtually on their in-person panel. The remaining panel rooms will be set for fully in-person participation.

Who is APSA intending to help by providing a virtual participation option?
The intention of the virtual participation option is to assist those who have concerns traveling to/from the 2025 Annual Meeting given its location. This may include the below scenarios: 

  • Those living in the U.S. who have concerns about their ability to safely re-enter the country after the meeting 
  • Those who live outside of Canada and require a visa to enter the country but may have trouble securing one in time for the meeting

This option is NOT intended for scenarios outside of the parameters noted above. This may include: 

How can I request to present on my panel virtually?
APSA created a request form where presenters who were accepted onto the 2025 Annual Meeting program could request to present in a virtual format rather than in-person. The deadline to submit the request form was April 14, 2025. APSA has reviewed the requests and notified presenters.

I missed the virtual participation request deadline. Can I still present virtually?
At this time, we are no longer accepting virtual participation requests. APSA will continue to closely monitor the international travel situation and will provide any updates to the Annual Meeting if needed.

How will APSA determine which presenters and panelists will be virtual?
As there will be a limited number of panel rooms set to accommodate virtual presenters, individuals will need to submit a request form to be considered. Presenters must meet the individual eligibility; and the panel they are requesting to present virtually on must meet the panel eligibility as well.

Individual Eligibility:

  • Have an active APSA membership at the time of this application If needed, renew your APSA membership here.
  • Accepted as a presenting author or presenter on an accepted paper panel, roundtable, or author meets critics panel
    • iPosters and Pre-Conference Short Course roles are not eligible 
    • Chair and discussant roles will be considered for individuals who also have an author or presenter role
  • Must currently reside outside of Canada 
  • Once accepted to present virtually, individuals will be required to register for the meeting 
  • Preference will be given to those in the early stages of their career

Panel Eligibility:

  • Full Paper Panels, Created Panels, Roundtables, Author Meets Critics, and Emerging Scholars Lightning Round are eligible for virtual presentation. The format of iPosters and Pre-Conference Short Courses do not allow for a virtual participation option so these session types are not eligible. 
  • The panel chair or at least one discussant must be in-person (this is required to ensure a seamless experience for both in person and virtual attendees)
  • Majority of papers on the panel must be presented in person (5 paper panel must have 3 in person, 4 paper panel must have 2 in person, etc.)

I declined my role during the RSVP process due to travel concerns. Am I still eligible to submit the virtual participation request form?
Yes. Even if you declined your roles, you are welcome to request virtual participation. Participants will have the opportunity to adjust their RSVP responses if needed after notifications have been sent regarding virtual participation.

What about affiliated events (business meetings/receptions)?
More information on how to request a virtual option for your business meeting will be available in the coming weeks. All receptions will be held in person in Vancouver. Virtual options may be limited.

Will those accepted to present virtually have to register?
Yes. There is a virtual registration option available and all virtual participants will still need to register for the meeting. Virtual participants will have access to all panels with virtual presenters as well as a livestream of the plenaries, breaking news panels and the Presidential Address.

I need to cancel my panel participation due to international travel concerns.
If you initially RSVP’d accepting your panel roles and would now like to make a change. Please email the division or related group chair (contact information is linked) and meeting@apsanet.org for assistance.

Why is the deadline April 14th to request a virtual participation option?
APSA took a careful look at the overall Annual Meeting planning schedule to create the timeline for the virtual participation requests. Factoring in existing deadlines, division and related group chair time needed to review and create panels, and staff time needed to schedule panels and events, April 14th is the latest these requests could be received and still ensure that the preliminary program is available online within 3 months of the meeting. It is imperative that the online program be made available in a timely manner as presenters need to have adequate time to book travel. Typically the program is available in early to mid-May; however, with these adjustments, the program will now be available end of May or early June.

Will adjustments be made to the meeting if the international travel situation changes?
We understand that the situation regarding international travel is continually evolving. APSA will continue to closely monitor the situation and will provide any updates to the Annual Meeting if needed.
