Participation Tips & Guidelines

Prior to attending the virtual, please take a moment to review all participation tips, resources and guidelines. We are excited to welcome nearly 400 political science scholars from across all subfields and various career stages of the discipline! Virtual participation for the 2024 American Political Science Association’s (APSA) Virtual Research Meeting will take place Thursday, February 8th and Friday, February 9th (Eastern).

If you are participating in the Virtual Research Meeting, please note that you:

  1. Must be registered to attend the Virtual Research Meeting.
  2. Authors should upload their paper or circulate it to fellow panelists by Thursday, January 25, 2024.
  3. Should take a moment to review the all meeting Participant Rules.
    • Chairs and discussants are encouraged and expected to log into their panel sessions 10-15 minutes early.
  4. If you plan to present a slideshow, be sure to have one created and prepared. You can also download the Virtual Meeting PowerPoint Presentation Template.
  5. If you are joining internationally, please check ahead of time to see if you need a VPN to access Zoom.

Volunteer as a Chair or Discussant

Consider volunteering as a chair or discussant to provide support to panelists. If you would like to volunteer for a specific panel topic, feel free to note that in your brief Statement of Interest.

Accessing the Virtual Platform

All virtual events will appear in the All Academic submission system Online Program. Please test your APSA credentials in advance of the meeting to ensure you can seamlessly access the platform. To see the links to the virtual meetings, you must be registered and logged in with your APSA credentials. Zoom join links will be made available to participants on the day of the session. 

To login to the Online Program, use the “Sign In” button at the bottom of the menu on the left side. 

Joining Zoom Sessions

Remember, to view or access the session Zoom links, you must be registered for the meeting and signed into the Online Program with your APSA login credentials. 

You can adjust the program for your time zone, search by session name, session type, keyword, date, time, and more. Once you find the session you would like to join, click on the event to view all session details. Once on the session page, you can then click “Join Zoom Session. Zoom links will become available on Thursday, February 8, 2024. See screenshot sample below: 

Technical Support

The fastest way to receive support is to use the Technical Support Chat in the left column of the program page. This is accessible whether or not you are logged in. This chat is monitored from 8:00 a.m. (Eastern) to the end of the last session each day. Please do not share Zoom links on social media to prevent panel disruption.

Other Best Practices:

  • Hosts/Chairs should log into their Zoom room and join their session 15 minutes prior to the start of the session to allow presenters to enter.  
  • Silence or power off your phone. 
  • Be aware of where your device camera is. Make sure it is at eye level and look at the camera when delivering your comments in order to facilitate better engagement with the viewers. If you are presenting formal remarks, be sure to rehearse in front of a camera so that you can see how your delivery will look. 
  • If you are presenting, be sure to have a water nearby. 
  • Avoid busy clothing patterns or backgrounds. 
  • If using them, keep your slides concise. 
  • Be respectful of the time available for all participants and the Q&A. 
  • Refer back to other points you’ve made in case a participant joins late. 
  • Mute your line when you are not presenting to reduce audio feedback and background noise.
